SolShift Gathering- Terms and Conditions of Ticket Purchase and Attendance
Please read these terms carefully before purchasing a ticket to the SolShift Gathering (the “Gathering” or “Event”). By purchasing a ticket, you agree to these Terms and Conditions on behalf of yourself and everyone in your party.
1. Who we are
The SolShift Gathering is organized and presented by the Vegan Community Center (“VCC”), a Minnesota nonprofit corporation, which is the seller of all tickets and the party responsible for the Event. “SolShift” is the name of the program and gathering VCC presents. In these terms, “we,” “us,” and “organizer” refer to VCC. “You” refers to the ticket purchaser and each attendee in your party.
2. What your ticket includes
- Ages 13 and up:
admission, all plant-based meals, every activity, and space to bring one tent
- Ages 6 to 12:
admission, all plant-based meals, and every activity
- Under 6:
admission, all plant-based meals, and every activity
Each ticket for ages 13 and up includes space for one tent, so the number of tents your group may bring equals your number of tickets for ages 13 and up. Tickets for ages 12 and under do not add tent space. If your group would like to bring more tents than that, please contact us in advance so we can plan accordingly. This is a tent-camping event; attendees bring their own tent and camping gear.
The $250 price is the complete price. There are no mandatory booking fees, service fees, or hidden charges added at checkout. This is intended to comply with Minnesota’s price-transparency requirements, which prohibit advertising a price that does not include all mandatory fees.
3. What to bring (this is a camping event)
The Gathering is a tent-camping event on a private campground. Your ticket provides your site and everything listed above, but you are responsible for bringing your own camping gear and personal items, including at minimum:
• Your own tent and all camping equipment (sleeping bag, pad, lighting, weather gear, etc.)
• Your own reusable plate, bowl, cup, and utensils for meals
• Personal supplies, clothing for variable weather, and any medications you need
A full recommended packing list and site details will be provided to ticket holders before the Event.
4. Refunds and ticket transfers
Full refund (30+ days before the Event): If you request a refund at least 30 days before the first day of the Gathering, you will receive a full refund of the ticket price.
Within 30 days of the Event: Tickets are non-refundable within 30 days of the Event, because by that point we have committed to food, site, and programming costs based on attendance. However, your ticket is fully transferable — if you can no longer attend, you may give or sell your ticket (at no more than face value) to another person, as long as you notify us of the new attendee’s name in advance so we can update our records.
To request a refund or transfer a ticket, contact us at the email listed at the end of these terms. Refunds are issued to the original method of payment.
5. If the Gathering is cancelled or postponed
If we cancel the entire Event and do not reschedule it, you will receive a full refund of your ticket price.
If we postpone the Event to a new date, your ticket will be honored for the new date. If you cannot attend the new date, you may request a full refund.
Rain or shine: This is an outdoor camping event and will proceed in most weather. We do not offer refunds for ordinary weather or for personal circumstances that prevent you from attending. If severe weather or another safety risk causes us to cancel or cut the Event short, we will communicate as soon as possible and handle refunds or credits fairly, as described below.
6. Circumstances beyond our control (force majeure)
We are a small nonprofit event and cannot control everything. If the Gathering must be cancelled, postponed, or shortened because of events beyond our reasonable control — including severe weather, natural disaster, fire, flood, public-health orders, government restrictions, loss of the venue, or similar circumstances — we will not be considered in breach of these terms. In those situations we will make a good-faith effort to offer you a refund, a credit toward a future Gathering, or transfer to a rescheduled date. We handle these rare situations openly and fairly.
7. A family-friendly, all-ages Event
The SolShift Gathering welcomes families and attendees of all ages. Anyone under 18 must be accompanied and supervised by a parent or legal guardian at all times. The accompanying adult is responsible for the safety, conduct, and supervision of their minors throughout the Event, including overnight.
8. A substance-free gathering
The SolShift Gathering is an alcohol-free (dry) event. Alcohol and recreational drugs are not permitted on the Event grounds. This keeps the Gathering welcoming, safe, and family-friendly for everyone. Attendees who bring or use prohibited substances may be asked to leave without a refund.
9. Community values and code of conduct
The Gathering is built on respect, kindness, and care for one another and the living world. By attending, you agree to help create a welcoming, safe space. We expect everyone to:
• Treat all attendees, staff, volunteers, and neighbors with respect, free from harassment, discrimination, or abuse of any kind
• Follow the reasonable instructions of organizers, staff, and volunteers, and all campground rules
• Respect the land, the campground, wildlife, and other campers, and leave no trace
• Keep the Event plant-based: please do not bring animal products onto the grounds
We reserve the right to refuse entry to, or remove from the Event, anyone whose conduct is unsafe, harassing, or seriously disruptive, or who violates these terms or campground rules. No refund will be given in that case.
10. Camping involves risk (assumption of risk)
You understand that the SolShift Gathering takes place outdoors, in a natural camping environment, and that camping and outdoor activities carry inherent risks — including uneven terrain, weather, insects and wildlife, and the ordinary hazards of the outdoors. You choose to attend voluntarily and accept these inherent risks for yourself and everyone in your party, including any minors in your care. You are responsible for your own health, safety, belongings, and equipment, and for supervising your party.
11. Limitation of liability
To the fullest extent permitted by Minnesota law, VCC and its board, staff, volunteers, and partners are not responsible for loss, injury, or damage to persons or property during the Event, except for injury or damage caused by our own negligence or misconduct, and except for any liability that cannot be limited or excluded under applicable law. You are responsible for your own belongings; we cannot replace lost, stolen, or damaged property.
12. The campground and venue rules
The Gathering is held at a private campground arranged through Hipcamp. By attending, you also agree to follow the campground’s own rules and any additional site-specific safety requirements we share with you before the Event (for example, fire, parking, quiet hours, and pet policies). Vehicles, check-in, and site access will follow instructions provided to ticket holders.
13. Photography and media
We may take photos and video at the Gathering for use in SolShift and VCC materials, such as our websites and social media. By attending, you consent to appearing in such images and to our use of them. If you or a member of your party prefer not to be photographed, let a staff member know at check-in and we will do our best to honor your request.
14. Changes to the program
The Gathering’s schedule, activities, speakers, and menu may change. We reserve the right to make reasonable changes to the program. Changes to individual activities or the schedule are not grounds for a refund, as long as the Event as a whole takes place.
15. Your information
We collect the information needed to sell you a ticket and run the Event (such as your name, contact details, and payment information). We use it only to operate the Gathering and communicate with you about it, and we handle it in accordance with our privacy practices. We do not sell your personal information.
16. Changes to these terms, and governing law
We may update these Terms and Conditions from time to time; the version in effect at the time of your purchase applies to you. These terms are governed by the laws of the State of Minnesota, and any dispute relating to the Event or your ticket will be handled in the courts of Minnesota.
